How Apertiq collects, uses, and protects your personal data.

This Privacy Policy explains how MxN Data Lab LLC ("MxN Data Lab", "Apertiq", "we", "us") processes personal data when you use the Apertiq AI interview platform. It is separate from, and read alongside, our Terms & Conditions: the Terms govern the contract for using the service, while this Policy describes how we handle your personal data. By using Apertiq you acknowledge the practices described here.
The data controller is MxN Data Lab LLC. Apertiq™ is a trademark of MxN Data Lab LLC. Where an organization uses Apertiq to interview candidates, that organization is an independent controller of the candidate data it collects, and MxN Data Lab acts as a processor on its behalf for interview delivery. Account data: name, email address, phone number, password (stored only as a salted hash), and role. Organization data: company name, address, size, sector, contact person, billing and card-verification details, and administrator accounts. Candidate & interview data: resume content and parsed skills, the questions asked and your spoken or typed answers, interview transcripts, ratings and generated reports, and — where an interview is recorded — audio/video recordings. Technical data: IP address, browser user-agent, device and session information, and locale preference stored in your browser. Consent records: a timestamped, cryptographically signed record of the terms and consents you accepted.
We process personal data to: create and secure your account; deliver and adapt AI interviews; generate skill ratings, transcripts and reports for the hiring organization; verify organization payment methods and manage billing; send transactional email (verification, scheduling, results, feedback requests); maintain security, prevent abuse, and meet legal and regulatory obligations; and improve reliability and performance of the service.
Apertiq uses AI to conduct interviews and evaluate job-relevant responses. AI output is a decision-support aid only: it must be reviewed by a qualified human before any employment decision, hiring decisions are never made solely on AI output, and we do not use video or biometric data to build discriminatory profiles of candidates. You have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
We share candidate interview results and reports with the hiring organization that invited you. We use vetted third-party sub-processors to operate the service (for example: LLM providers for question generation and rating, speech-to-text and text-to-speech providers, avatar/meeting providers, email delivery, and cloud hosting), bound by contractual confidentiality and data-protection terms. Where an interview is recorded, the recording is stored within the hiring organization's own infrastructure and MxN Data Lab does not retain or access the video recording. We do not sell your personal data.
We keep personal data only as long as needed for the purposes above or as required by law. Operational logs, security/authentication events, and interview telemetry are retained on defined schedules and then deleted. Consent records are retained for regulatory compliance. Recordings held in an organization's infrastructure are governed by that organization's retention policy.
Depending on your location (including under the GDPR and CCPA/CPRA), you may have the right to access, correct, delete, or export your personal data; to object to or restrict certain processing; to withdraw consent; and to lodge a complaint with a supervisory authority. For candidate interview data collected by a hiring organization, please also contact that organization. To exercise your rights with us, use the contact details below; we respond within the timeframes required by applicable law.
We protect data in transit and at rest using industry-standard measures, including encryption of sensitive tokens, hashed passwords, access controls, network restrictions on administrative interfaces, and signed consent records to detect tampering. No system is perfectly secure, but we work continuously to safeguard your data.
Apertiq uses browser local and session storage for essential functions such as keeping you signed in and remembering your language preference. We do not use third-party advertising cookies.
Your data may be processed in countries other than your own. Where data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses.
Apertiq is not directed to children and is intended for use by individuals who are at least 16 years old, or the minimum age required in their jurisdiction.
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date and, where appropriate, communicated to you.
